AI tools & automation

AI that saves real hours, not a chatbot for the sake of it.

A lot of what gets sold as AI is a chatbot bolted onto a website that confidently makes things up. That is worse than nothing, because a customer who gets a wrong answer about your prices trusts you less than one who got no answer at all.

Used carefully, it is genuinely useful for the dull, repetitive work: answering the questions customers ask every week from your own prices and policies, sorting and drafting replies to enquiries, pulling the details out of invoices, forms and PDFs and into the systems you already use. I build those so they answer only from information you have approved, hand over to a person when they are unsure, and never send anything important without somebody checking it. I have built this for real in CraftAI CV. If you are not sure whether any of it is worth doing, it starts with a short look at where AI would save you time, and sometimes the answer is that it would not.

Best for

Businesses losing hours every week to the same questions, emails or paperwork.

How it runs

  1. Where the hours go

A look at the repetitive work in the business: the questions answered every week, the emails sorted by hand, the details typed from one system into another.

  2. An honest shortlist

The one or two jobs where AI would clearly save time, the ones where it would not, and a fixed price for the first. Running costs are estimated up front, for whichever AI provider you choose.

  3. Build and test on real examples

Built and then checked against your actual questions, emails and documents, including the awkward ones, before a customer ever sees it.

  4. Live, with a person in the loop

It goes live with a clear hand-over to a human, and a review after the first few weeks of what it got right and what needs tightening.

Common questions

Will it make things up?
Not if it is built properly, and that is most of the work. An assistant answers only from information you have approved, says so when it does not know, and passes the question to a person rather than guessing. Anything that goes out in your name can be set to wait for a human to approve it.
What happens to my customers' data?
You choose which AI provider it runs on, from those whose terms do not let them train on your data, and the account sits in your name. Nothing is sent that the job does not need, and you get where your data goes in writing before anything is built.
Are there running costs?
Usually, yes. AI providers charge by use, billed to an account in your name so there is no mark-up in the middle. For most small businesses it is modest, and you get an estimate based on your own volumes before you commit.
